Using Tokens in the Announcements

Help volunteers feel appreciated and stay on top of their jobs by personalizing emails and including their individual shifts. The Tokens featured in the VSP Announcements pane streamline sending emails to large numbers of volunteers by allowing you to personalize a variety of fields without endless copying and pasting.

  1. Open VSP and click on the Announcements pane on the left side of the program.
  2. Click the "+" button in the upper right, hover your cursor over "Templates >" in the drop-down menu and choose "Preconfigured", then select the template you wish to use, OR click on the "+" button and select "Email", then write out the message you wish to send.
  3. If you wish to greet each person using their full name, place your cursor in the email where you wish the name to appear. Then click on the Token menu on the right hand side of the email. Hover your mouse over "Profile Settings" and then select {{FullName}}. The token should appear in the area of the email where your cursor was placed. The email will now automatically generate the full name of the volunteer being emailed.
  4. If you want to double-check how your email will look before sending, click the "Preview" button at the bottom of the program. In the Token Options dialog that appears, adjust the settings as you desire. Click "OK" and then, on the next screen, select the volunteer you would like to "Preview for."
