Increase volunteer accountability by tracking attendance

VSP offers the ability to track volunteer attendance and participation. By tracking attendance with VSP, you can easily generate reports and send personalized emails letting no-shows know they were missed. You can also display volunteers' attendance record on the Web Terminal for them to see when they log in. Tracking attendance increases accountability and lets your volunteers know that their participation is important.


  1. Open the schedule inside of VSP. Locate the positions on the schedule where a volunteer did not show up. (Note: VSP has the ability to print sign-in sheets, which can be helpful in tracking which volunteers don't show up.)
  2. If a volunteer did not show up and the spot went unfilled, you can right-click on their name and choose "Flag as did not show up" or click on the red flag at the top of the scheduling window.
  3. Go to the Announcements pane in VSP.
  4. Click on the "+" button in the upper right, then hover your cursor over "Templates >" in the drop-down menu and click on "Preconfigured". In the new dialog, choose "No-Show Follow Up." The template will load in the Announcements email with the {{NoShows}} token included. This token will be replaced with the date, time, and job in which a volunteer was scheduled but failed to show up. By default, the token will display no-show positions in the past one week, and only be sent to volunteers who have a no-show in that date range. If you wish to set different parameters, these can be adjusted in the Token Options window.

    BONUS: You can also use these tokens in the Web Terminal so volunteers can see their attendance record whenever they login!
